SUMMARY:

We are seeking a responsible Family Assistant whose primary responsibilities will include (but are not limited to) family management, property management, childcare, and personal event service. An ideal candidate should be forward-thinking, have great attention to detail, have the ability to work under pressure, have a flexible schedule, and be willing to wear multiple hats. It is essential to be quick-thinking to prevent or solve any issues that may arise.

PRIMARY DUTIES:

Personal/Household Assistant:

  • Manage Family’s personal calendar to ensure Principal’s are up to date with high priority events.  - Birthday’s, weddings, medical appointments, etc.
  • Answer and make phone calls on behalf of the family: Schedule/cancel personal appointments, create travel itineraries, and prepare logistic documents. 
  • Accompany family to trips, outside events, activities, and appointments.
  • Assist the Estate Manager to be his "eyes and ears". The candidate will be asked to assist with research, and troubleshoot issues when necessary. 
  • Maintain an approved product list for home and personal items, including sourcing information. - Keep an inventory of personal items for principals, and restock as needed.  Manage PAR lists.
  • Monthly/weekly purchase order submission, get approval, place orders, and track delivery status.
  • Shop for household items as needed, prepare and submit expense reports, oversee onsite vendors as needed.
  • Update and maintain Google Contacts.  Ensure information is synced to phones.
  • Purchase gifts, develop and maintain gift tracker, and review and audit receipts. 
  • Good organizational skills to maintain closet systems, and toiletries.
  • Manage seasonal wardrobes and clothing size rotations.
  • Provide driving services to the Principals and their family as needed.

Nanny:

  • Work closely with the children's parents to aid and assist with childcare whenever necessary. 
  • Carefully research and propose age appropriate local activities and resources, register attendance, and accompany children to activities.
  • Able to transport children to and from play dates, outings, classes, etc.
  • Assist children with homework and school projects in an interesting, engaging manner.
  • Liaise with children’s schools, track and report to parents on school progress.
  • Develop children’s independence; help them be self-motivated, and guide them on etiquette and manners.
  • Develop and implement a sanitation schedule of toys, surfaces, handles, etc.
  • Engage activities at home, scheduled outings, themed weekends, etc.
  • Ensure children’s timetable is adequate and allows for the day to run smoothly.
  • Able to prepare fresh and healthy snacks. Work with the Chef to develop child-friendly menus.
  • Cook breakfast and meals for children and the family as needed.
  • Light chores.

REQUIREMENTS:

  • Have at least 3 years of management experience.
  • Have experience managing 3+ subordinates.
  • Bachelor’s degree or above.
  • Flexible schedule with weekend and holiday availability.
  • Proven experience working as a personal assistant is required.
  • Experienced working with preschool and school-aged children is preferred.
  • Experienced with 2+ children in a private home domestic setting is preferred.
  • Must be able to build a positive rapport with children. Intuitive to the needs of the children.
  • Willing to travel with family both internationally and domestically.
  • Highly organized, detailed oriented, proactive, excellent time management skills, and service-minded. 
  • Attentive to Principals' preferences and style. Can take direction and accept feedback.
  • Well-groomed, professional, active, fit, and non-smoker.
  • Reliable and punctual. Long-term intent only.
  • Excellent communication skills and ability to multitask.
  • Creative, energetic, positive, happy, compassionate, and calm under pressure.
  • Resourceful and takes initiative to follow through and complete tasks timely. Willing to assist with the day-to-day functioning of a busy family and household.
  • Annual flu shot required.
